A clan works when it ran formally with strict rules, with barely any exceptions.
I would recommend making a template for accepting, (or denying) Basic rules for this are, proper grammar, and spelling.
Some sort of trial system, would work well, too.

The advise I gave you, it's a life writing skill. You should apply everything with proper grammar and spelling, no matter if it's informally to a mate, or formal for a job interview.
